    Position Purpose

    • The main function of the Payroll Associate is to support the Payroll Manager in the activities of the centralized payroll department by assisting with payroll preparation/processing, tax reporting, payroll systems maintenance, and legislative and corporate compliance.

    Duties and Responsibilities

    • Calculating regular and overtime earnings and deduction totals, Manual Check adjustments, preparing general ledger entries, reviewing automated system output such as registers and standard reports. Determining and correcting out-of-balance conditions, reviewing tax reports, gathering payroll data for inclusion in financial statements. Researching and preparing special reports for management and Accounting team.
    • Taxes – filing, applying and researching tax laws, tax applications, and tax setups specific to federal, state, and local jurisdictions.
    • Compliance laws – implementing best practices/suggestions by researching and applying knowledge of federal, state, and local regulations into payroll procedures and processes.
    • Multi-state processing payrolls including complex payrolls such as California payroll and FLSA OT payrolls; understanding how to both calculate and process those complex payrolls with and without system assistance.
    • Be a subject matter expert on company payroll software and applications such as ADP Workforce Now, Enterprise E-Time, and Concur.
    • Performs tasks to establish and maintain payroll records. Duties Include but are not limited to checking and auditing timekeeping records for compliance with established standards, maintaining time and attendance records.
    • Updates payroll records by entering changes pertaining to exemptions, insurance coverage, savings deductions, and Enterprise E-time data.
    • Performs a wide variety of record keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording payroll deductions, processing requests for paycheck advances.
    • Supports as backup to Payroll Clerk for processing terminations and garnishments, tax levy, child support orders.
    • Calculates, reviews, and validates with HR Shared Services, and funds 401K contribution data to the 401K provider.
    • Prepares and verifies the monthly Vacation accrual for respective company codes.
    • Prepares and verifies the 3rd party sick pay accrual for all legal entities.
    • Back up to Payroll Clerk in reviewing, verifies and submits 3rd party timesheet to appropriate Vendor for all legal entities.
    • Assists with Expense administration in Concur including new hire maintenance, employee updates, and weekly expense processing.
    • Reviews employee information from HR Shared Service Department daily and processes – strong attention to detail and accuracy.
    • Works efficiently in a high volume shared services department processing up to 60 a day payroll maintenance updates and new hires.
    • Answers payroll inquires and questions within a 24 hour turn around period.
    • Attend and assist in ongoing departmental training.
    • Work with other departments on special projects. Follow and enforce the Company required safe work practices and procedures at all times.

    • Demonstrate excellent communication skills, professionalism, and promote a positive customer service attitude internally and externally
    • Enforce and abide the requirements of safe operation and personal safety using required Personal Protective Equipment and Safe Practices per company policy
    • Perform all other duties as assigned.

    Supervisory Responsibilities

    • Train, mentor and guide Payroll Clerk in correct company and payroll specific processes and procedures.

    Knowledge and Skills

    • Knowledge of federal, state, and local labor and pay regulations.
    • Ability to multi-task and properly execute multiple simultaneous assignments.

    • Must have working knowledge of MS Office Suite of products, high competency in Excel

    Education and Work Experience

    • A minimum of 5+ years of progressive payroll experience in a shared service and multi-payroll department.
    • High School Diploma or Equivalent required.
    • Associates/Bachelor’s Degree in related field highly desirable.
    • 3+ years of experience with ADP Products (E-time V6 or higher, Workforce Now, Kronos).
    • Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.

    Certificates and Licenses Required

    Fundamental Payroll Certification recommended but not required.

    Working Conditions

    • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes
    • The noise level in the work environment is usually quiet to moderate.
    • May be requested to work overtime and weekends occasionally.
    • Some travel required.
