    Position Purpose

    • This position is responsible for providing administrative support to the Advanced Services and Central Region in the USA. 

    Duties and Responsibilities

    • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. Directs visitors by maintaining employee and department directories; giving instructions. Maintains security by following procedures; monitoring logbook; issuing visitor badges.
    • Maintains safe and clean reception area by complying with procedures, rules, and regulations.Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
    • Data Entry of information from work reports to online systems.
    • Transmit information or documents to customers, using computer, mail, or facsimile machine.  
    • Perform administrative support tasks such as proofreading, transcribing handwritten information, and operating calculators or computers to work with pay records, invoices, balance sheets and other documents.
    • Locate and monitor discrepancies with reporting, using computers and a variety of automated systems.
    • Conduct account research and analysis concerning reports.
    • Interact with internal customers to resolve outstanding issues.
    • File copies of orders received, or post tickets in appropriate system
    • File and maintain records.
    • Process and prepare memos, correspondence, or other documents.
    • Organize and work with detailed office or warehouse records, maintaining files for each policyholder, including policies that are to be reinstated or cancelled.
    • Transcribe data to worksheets and enter data into computer for use in preparing documents and adjusting accounts.
    • Maintain a strong customer service focus.
    • Update operational records using computer terminals.
    • Inform customers by mail or telephone of additional steps they need to take to obtain data.
    • Stock counters with adequate supplies of forms, film, licenses, and other required materials.
    • Attend meetings to record minutes.
    • Contributes to team effort by accomplishing related results as needed.
    • Perform other duties as assigned.

    • Able to maintain confidentiality.
    • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
    • Commands knowledge of principles and practices of human resources administration, shows initiative and focuses people’s attention on matters before they become urgent.
    • Have the ability to establish and maintain effective and professional relationships with other management staff, employees, and the general public.
    • Highly proficient using MS Office Suite and other software applications.

    Education and Work Experience

    • High School and Diploma or Equivalent.
    • Minimum 2 years work experience in office environment.
    • Strong Computer Skills Required.
    • Developing specific goals and plans to prioritize, organize, and accomplish your work.
    • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
