    Position Purpose

    • The main function of the Office Administrator is to provide general administrative support for the Corporate Office.

    Duties and Responsibilities

    • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
    • Act as an ambassador of Applus+ when receiving guests from other Applus+ locations.
    • Accept and sign for packages, distribute mail, and preparation of shipments
    • Manage reception area to ensure effective telephone and mail communications both internally and externally.
    • Assist with event and planning including coordination, host event booking and entertainment.
    • Manage P-Card and T-Card expenses include following corporate requirements for purchasing and reconciliation, provide to Procurement for review and final submittal to Accounts Payable Shared Service per the required deadlines.
    • Maintain conference room schedules by planning and scheduling necessary resources.
    • Assist with facilitating signatures on corporate documentation in a timely manner
    • General corporate office correspondence; release memos to corporate email distribution list.
    • Assist with Accounts Payable; PO creation and online ordering, in compliance with corporate requirements. Reconcile Purchase Orders in ERP system
    • Responsible for maintaining corporate legal entity files and managing state registration renewals with the assistance of a third party agency
    • Maintain office and break room inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. Responsible for organizing and putting away supplies in all of the office’s supply rooms.
    • Manage personal expense reports and travel booking/coordination for the executive team
    • Serve as a notary, notarizing company documents as requested.
    • Provide historical reference by utilizing filing and retrieval systems.
    • Act as back up for Marketing Manager & Assistant to Executive Management Team
    • Assist with guest travel arrangements
    • Process legal documents and manage Service of Process account
    • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities; first point of contact with building management for any maintenance and/or building issues.
    • Maintain corporate office events calendar and manage activities as needed.
    • Supervises the maintenance of office equipment, including copier, postage meter, etc.
    • Responsible for the facilities day-to-day operations such as distributing building access cards.
    • Order business cards for corporate employees. Assist other offices as requested
    • All other duties as directed.

    • Second language is preferred.

    Education and Work Experience

    • A minimum of 3 years’ experience in an office administrative role.

    Working Conditions

    • Must be physically located in Sugarland, Texas
    • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes

    • Overtime may be required during the week and weekend with work volume
