Position Purpose

  • The Project Coordinator position is a critical component of maintaining market leadership while managing the vendor surveillance relationship with the client and Velosi. The position provides support to the Vendor Surveillance Services Division and as applicable to the Vendor Surveillance Services (VSS) Team, Coordination Manager, and Technical Manager/ Personnel.

Duties and Responsibilities

Client and Financial Responsibilities

  • Directly responsible for fostering and maintaining the relationship with Vendor Surveillance Department customers.
  • Responsible for the day to day operations within the Vendor Surveillance Department, including responsibility for oversight and management of particular contracts.
  • Responsible for selecting and retaining contractors used by the Vendor Surveillance Department to perform customer work.
  • Responsible for selecting and retaining contractors in a way that ensures financial profitability of particular contracts and quality of service.
  • Responsible for prioritizing all aspects of work at all times, and continually focusing on improving the efficiency of the tasks.
  • Responsible for project profitability tasks including calculation of Profit Margins ensuring they are in line with company goals.
  • Attend client meetings and vendor kick-off meetings; build and maintain good client relationships.
  • Coordinate the work of the field staff including inspectors, expeditors, and auditors ensuring client expectations are met; this includes scheduling travel arrangements when required. 

Project Responsibilities

  • Review assignment packages from clients for quality and compliance.
  • Coordinate and/or schedule visit dates with clients, vendors, and field staff.
  • Review Field staff report before sending to client; checking for accuracy and meets client requirements.
  • Keep track of non-conformances and ensure they are reported through the company designated system.
  • Responsible for submitting fully reviewed and formatted field staff reports to the client, having resolved any potential queries therein and cross-checked the report against the client documentation available prior to submission
  • Ensure that company and client procedures and guidelines are followed with respect to assignment of suitable field staff for each assignment, and that all required paperwork is passed to the field staff and fully managing each assignment until completion.
  • Respond to and follow up on inquiries, customer clarifications and complaints consistent with Company policy..
  • Responsible for a 24-48 hour turn-around time to clients consistent with Velosi’s Policies.
  • Ensure Velosi’s database is continually updated with all required information regarding clients, vendors, field staff, scheduling, reporting, etc.

General Administrative Responsibilities

  • Prepare monthly and/or weekly spreadsheets detailing hours, mileage and costs per assignment for client approval.
  • Assistance with answering phone lines within the department, when necessary.
  • Assist the Coordination Manager, and/or the Technical Manager with any needs department wide to ensure successful department project needs are met.
  • Assist Department Managers with training of other members, meetings, conference calls, and coverage as needed.
  • Follow and enforce the Company required safe work practices and procedures at all times.
  • Follow and enforce Company policies at all times.
  • Perform all other duties as assigned.

Supervisory Responsibilities

  • Maintain a safe, secure, and legal work environment for all staff ensuring all company policies are being followed.

Knowledge and Skills

  • Ability to read relevant information received regarding assignments and be able to explain to others i.e., Inspection and test Plans, Purchase Orders, etc.
  • Knowledge of relevant codes of practice in the oil & gas industry.
  • Ability to have strong data-mining, critical thinking, analytical, and problem-solving skills.
  • A hands-on, take-charge financial professional with strong analytical skills.
  • Ability to multi-task and properly execute multiple simultaneous assignments under pressure and tight deadlines.
  • The ability to understand the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Articulate with excellent verbal and written communication skills.
  • Firmly adheres to the values and ethics of Applus+. Exhibits honesty, discretion, and sound judgment.
  • Ability to rely on extensive experience and judgment to plan and accomplish goals and experience in strategic planning and execution is required.
  • Advanced Microsoft Excel and PowerPoint, skills required.
  • Must be flexible and thrive in a fast pace environment.

Education and Work Experience

  • Minimum 3 years of experience in an engineering inspection and quality insurance environment with a third-party inspection agency.
  • Experience working in the Oilfield services industry, preferred.
  • High school diploma required.
  • Associate and/or Bachelor’s Degree (preferred but not necessary) in a related field of work; or a combination of two to three years of related experience and/or training; or equivalent combination of education and experience.

Working Conditions

  • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.

  • May be requested to work overtime and weekends occasionally as work demands.
  • Ability to travel when required, nationally or internationally, up to 10% of the time.
